A document has not been scanned

We tell you why some documents are "not confirmed" or "rejected" and how to solve it.

Documents that cannot be scanned automatically are placed in the folder "Missing Confirmation" or "Rejected".

This may be due to various errors, such as:

✌🏼 "Duplicate"

😵‍💫 "Bad quality"

📝 "Format"

✍🏼 "Handwritten text"


🔮 Missing information

Some basic information of the document was missing: supplier, document no., date, total amount....

Solution:

  1. Click on "complete".

  2. Enter the missing information.


✌🏼 Duplicate

Our system has detected another document that has the same document number, supplier, date and total amount and so that it is not duplicated as an expense, it sets it aside.


Solution:

  1. Click on the 3 dots menu ( ⋮ ).

  2. Click on the "delete" option to permanently delete the document.

If it is not a duplicate document and you want to upload it to the system, click on the 3 dots menu ( ⋮ ) and "upload".



😵‍💫 Poor quality

The sheet is wrinkled, smudged, badly printed, torn, etc. or the image is blurred or in poor light.

"If you don't get to read it, neither does haddock."

Solution

  1. Click on "complete".

  2. Enter the incomplete information. See how to review and complete non-digitised documents.

You can also delete the document and upload it again in better quality (by clicking on the 3-dot menu ( ⋮ ) and then click on "delete").


⚠️ Pending revision

The document has not been digitised due to an error in the file, which may be the result of a combination of factors or an unknown reason, preventing the system from being able to read the information.

Solution:

  1. Haz clic en "completar"

  2. Enter the incomplete information. See how to review and complete non-digitised documents.



🖇 More than one document

Photos of 2 or more documents have been uploaded in one upload. Uploading different documents with photos, have to be done separately.

Solution:

  1. Click on "delete" to delete the document.

  2. Upload them again separately.



📄 Missing pages

Pages with basic information (No., date, amounts...) are missing from the document.



Solution - If you want the whole document:

  1. In the 3-dot menu ( ⋮ ) click on "delete".

  2. Upload it again with all pages attached.

Solution - If you don't want all the pages:

  1. Click on "complete".

  2. Enter the incomplete information. See how to review and complete non-digitised documents.



🔐 Document with password

The file is password protected and cannot be opened.


Solution:

  1. Open the PDF in the Acrobat application on your computer.

  2. Use the "Unlock" tool. Choose "Tools" → "Protection" → "Encrypt" → "Remove".

  3. Upload the document back to haddock.


📩 Formatting

The document does not have the format of an invoice, delivery note or ticket.

✨ Solution - Create a manual expense

  1. Click on "New expense" on the documents page.

  2. Click on "Create manual expense".

  1. Click on "complete".

✍🏼 Handwritten text

The text in the document is handwritten and cannot be recognised.

Solution:

  1. Click on "complete".

  2. Enter the incomplete information. See how to check and complete non-digitised documents.
